Add/Update Resource

Only Resource and system administrators can add or edit resources in ResSched. Organizations can change the terms bookings, clients, resources, and categories to reflect their own usage. When the labels have been changed in Organization Settings, the new terms are used in ResSched schedules, lists and input forms. The new labels do not affect the documentation.  


Add New Resource


1.From the main menu, select Resources>Add Resource. This opens the Resource Information page shown below.

2.Enter a unique name (not case sensitive) for the resource.

3.If there is more than one unit of this resource, turn on pooled and enter the total number of units for this resource.

4.Add any color, image, notes and URLs, and contact information for this resource

5.To add this resource to an existing resource group, go to the Groups Tab, click the Add to Groups button and select the groups you want.

6.Select which users can view or book the resource, using the entries on the User Tab

7.Click Save


Edit Existing Resource


1.From the main menu, select Resources>Browse Resources.

2.Select the resource, and click the EditButton. This opens the Resource Information page shown below.

3.Enter your changes. With the exception of the Rate, any changes you make will apply to current and past bookings.

4.Click Save

General Tab



A unique name for the resource.


This is a pooled resource. Units: Total number of units of the pooled resource available at any one time.


Default charge out rate for the resource. Charge by: period: the time period the rate applies to, from minute to day. General users can change this rate for individual bookings if allowed in Organization Settings. Conditional: Enable Charge Out Fees must be turned on in Organization Settings.


Lets you select a color to associate with this resource in schedules.


Resource is not available for bookings and is only optionally included in graphical schedules or browse bookings. Allows resources to be withdrawn from ResSched without losing historical booking information.


Image Tab


Displays the image file associated with this resource.

Upload Image

For administrators only. Select the image file that will be uploaded to the server for this resource.


Contact Tab


Contact information for the resource.  The email address is used for resource notification when the resource booked depending on Organization Settings. Location information is also displayed if turned on in Organization Settings.


Groups Tab

Displays all the resource groups that include the resource. Administrators can use the Add to Groups button to add the resource to more groups and use the DeleteButton to remove the resource from the group.


Users  Tab


Users are authorized to book or view resources from several sources.  


All Users Authorized To

Book and View - All users can view this resource, all general and reserve users can book.

Book - All general and reserve users can book this resource, view only users must have other authorization to view.

View - All users can view this resource

None/Clear - All users must have other authorization to use this resource.

Specific Users Authorized for this Resource

Lists all the users with some authority for this resource and shows if the authority covers all resources or is specific to this resource.    




Notes Tab


Users can add up to 5000 character of free form text to the resource.


URLs Tab


An unlimited number of URLs for web pages, pdfs or other documents that can be opened with a web browser can be added to the resource.
