Only System Administrators can add or edit users in ResSched
1.Select Administration>Users>Add User in the main menu to open an empty User Information page
2.Enter a unique name for the user as well as all the required information fields.
3.Click Save
1.Select Administration>Users>Browse Users from the main menu to open the Browse Users page
2.Select the user and click the edit button to open the User Information page
3.Enter any changes
4.Click Save
To delete a user, click the delete button in Browse Users
General Tab
Access Level |
Available options are: view only user, public view only reserve user, general user, resource administrator, system administrator
For public view only user ID's, select Menu Access or Specified Schedules |
User Name |
Unique identifier for user, preferably an email address.1 Required |
Primary Email Address |
Required primary email address (defaults to user name address if used) |
2nd Email Address |
Second optional email address for security notifications. |
First, Last Names |
First and last names of the user. Optional |
Department |
Entry if the user is part of a sub group in the organization. Optional |
User as Client |
Whether the user is also a client in ResSched. If "Also a client" or "Only client" are selected, a client record for this user is created when the user information is saved. With "Only Client". the user can not make any bookings with anyone else as the client. 2 |
Passwords |
Passwords must be entered twice and conform to the password strength requirements set in User Access in Organization Settings. The Generate button will create random passwords according to the strength settings. The password will be valid for the Hours Before Expiry specified in Organization Settings (0 = no expiry). The user will be required to change the password when they first log into with this new password. 1 |
Email Password |
If turned on, the new password will be emailed to the primary email address of the user with notification to the second address if there is one. |
Authorized Resources Tab
Determines which resources a user can view or book. Users with the authority to book a resource also have the authority to view the resource's schedule, although the details of other users' bookings may be hidden. Users' authority to book or view resource schedules can come from global sources. Individual user authority can also be increased for specified resource groups or individual resources.
Book/view all resources |
Book All - user is authorized to book and view all resources (for General and Reserve users only), View All - user is authorized to view all resources. Any authority to book is from another authorization source. No - User's authority to book or view must come from another authorization source

Book/view/select all resource groups |
Book All - user is authorized to book and view all the resources in all the resource groups. View All - user is authorized to view the all resources in all the resource groups. Select Only - user can select any resource group to book or view resources, but can only book or view those resources they have other authorization for. No - user needs other authorization to use resource groups.

Resource Groups for this User |
List of all the resource groups available to the user and what the user can do with them. When the user's authorization for the group is not predetermined by a higher authorization source, system administrators can change the user's authorization.
Book All - user is authorized to book and view all the resources in the resource group. View All - user is authorized to view the all resources in all the resource group. Select Only - user can select the resource group to book or view resources, but the user will only be able to book or view those resources they have other authorization for.
The Add Group button lets the administrator add groups to the user's list.

Specific Resources for this User |
List of all resources available to the user and what the user can do with them. It shows the authorization for all users and for this individual user. System administrators can change the individual user's authorization for those resources not predetermined by the authorization for all users.
Book - user is authorized to book this resource View - user is authorized to view this resource
The Add Resources button lets the administrator add resources to the user's list.

Authorizations to use specific resources or groups are mirrored in Add/Update Resource
User Groups Tab
List of any User Groups the user is part of. Use the Add Groups button to select User Groups, and the button to remove the user from a group.
Notes Tab
Users can add up to 5000 character of free form text to the user.
1 Public View Only User IDs do not have passwords and should not have an email address as the user name or a second email address
2 Available for reserve and general user access level only. Enable Clients must be turned on in Organization Settings. Multiple Clients must be turned off
